Rapid Insight Workshop

A Rapid Insight Workshop is two sessions with your key people that map how work really gets done and where time and money are lost. It costs a fixed $9,000 + GST, and about three weeks later you get a prioritised roadmap, a business case and a product specification you keep either way.

What does a Rapid Insight Workshop include?

Two sessions

Two sessions with your key people. We work around your operation rather than parking it for a fortnight of discovery.

Around three weeks

We turn the strategy, business case and product spec around in about three weeks — long enough to do the analysis and cost the findings properly, short enough that the decisions still matter.

One roadmap

A map of how your operations actually run, the highest-value changes in priority order, and a business case you can put in front of a board.

No obligation

It is yours to keep either way. If the roadmap says the return does not justify a build, that is a legitimate outcome and a cheap way to find out.

Process mapping with the people who do the work

Most process maps describe how work is supposed to happen. The workshop maps how it actually happens: every hand-off, re-key, spreadsheet and workaround, with the people who do the job in the room.

That map is where the savings show up. Each step gets the hours it takes and the errors it causes, so the roadmap ranks fixes by what they return — whether that is a process change, a system connection or a build.

Product requirements

Eliminating the need to circle back.

We'll help define core features, user flows, and functional requirements needed to improve your business operations. Our team will expertly steer you away from overbuilding with our lean thinking mindset.

Your product requirements document provide a single source of truth and will align your plans across founders and staff from day one. It will capture your requirements and keep you focused, on budget and on track for timely delivery.

Market research

What if you could reduce the risk of failing before investing in solutions?

The marketing research and rapid insight report is designed to sharpen your thinking, ensuring your solutions are grounded in real-world context, not assumption. We analyse the market, competitors, emerging trends and patterns to uncover positioning opportunities, and potential risks.

Build proposal

What to build? How to approach it? Why it matters?

We use decades of product expertise and decisiveness to synthesise everything uncovered during the workshop into a clear set of recommendations.

The build proposal is engineered to improve your current processes, giving you a pragmatic, aligned path forward. You can be confident it’s right for your business, whether it's extending your capabilities or creating products to cover gaps.

Transformation strategy

We translate strategy into a practical delivery plan – outlining scope, timelines, milestones, and cost. No ambiguity or guesswork – just a structured roadmap that provides a path towards achieving your goals.

With the discovery and understanding in place, we're already in a perfect position to become a transformation partner. No additional costs or onboarding required, allowing you to move forward with confidence, whether with us or your own team.

What does a Rapid Insight Workshop roadmap look like?

The roadmap is a written document, not a slide deck, and it is yours either way.

Your operation, mapped

Each process step, who does it, which system it touches, and the hours and errors it causes, taken from the people who do the work.

A ranked list of changes

What each problem costs now, what fixing it involves and costs, and what it returns, ranked by payback, with items that do not pay back marked.

The business case

Cost, expected return and assumptions for the top items, written so a board, owner or bank can test it, with decisions only you can make flagged.

The delivery plan

Scope, timeline, milestones and cost for the first items, ready for your own team, another supplier or us.

How is this different from a typical workshop?

It is designed to deliver fast, actionable outcomes, not maximise billable hours: two sessions of your team's time, a fixed fee, and a written roadmap you keep.

Where has it worked?

Book a Rapid Insight Workshop

Tell us a little about your operation and what is slowing it down, and we will come back to you to find a date that suits your team. The workshop is two sessions of your team's time at a fixed $9,000 + GST, with the prioritised roadmap and business case back in your hands around three weeks after the sessions.

Questions we get about the workshop

A prioritised roadmap and a business case, in writing, around three weeks after the sessions. The roadmap lists the work in the order it pays back rather than the order it was mentioned, and each item carries what it costs you now and what changing it is worth. You own the document whether or not you build anything with CodeFish, and it is written to be taken to a board or a bank.

A Rapid Insight Workshop is a fixed $9,000 + GST, quoted before anything starts, with no day rates and no extras added later. That price covers two sessions with your team mapping how work really moves through your business, the interviews and analysis behind it, and the prioritised roadmap with a business case that comes back to you around three weeks later. You own the roadmap whether or not you build anything with us, and it stands on its own if you decide to take the work elsewhere.

Two sessions. We interview the people who actually run the process — not only the managers — then do the analysis on our own time. You are not staffing a project for a month to find out where your money goes.

When you already know precisely what you want built and can describe it in detail. In that case a Scoping Workshop gets you a quotable specification and skips a step. The workshop earns its fee when you can feel that the operation is inefficient but cannot yet point at the number, or when several competing ideas are on the table and nobody agrees which pays back first.

In the sessions, we work through how your operation actually runs, one process at a time, with the people who do the work. The first session usually covers how orders, jobs or requests move through the business, from first contact to invoice. We then sit with the people who use each system and spreadsheet and walk through what they do, where they wait, and what they fix by hand. In the second session we look at the costs that sit behind those steps and test our early read with you. You leave knowing what we saw. The analysis, costing and write-up follow around three weeks later.

Before the day we need the right people in the room and a short list of what you already know hurts. That means someone who can make decisions, and the people who run the processes day to day, such as your operations lead, someone from finance and whoever handles customer orders or jobs. A list of the systems you use and roughly what each one is for saves time. So do any recent figures you already track, such as order volumes or hours spent on admin. Nobody needs to prepare a presentation; we would rather see the real spreadsheets than a polished summary of them.

The workshop works best on site, because most of what we map is in how people actually use their systems and paperwork, and that is easiest to see at the desk where it happens. If your team is spread across locations, tell us when you book. We will plan the day around who needs to be in the room, who can join by video for their part of the process, and whether a follow-up conversation with a remote site is needed. What we will not do is replace the session with a survey, because the workaround nobody writes down is usually the one that costs the most.

The fee covers the workshop, the analysis and the roadmap, and it stands on its own whether or not you build anything. If you do go ahead with CodeFish, the discovery is already done. There is no second discovery phase and no onboarding cost before work starts, because the people who ran your workshop already know how your operation runs and which items come first. If you go ahead with another supplier or your own team, the roadmap and delivery plan are written so they can pick them up without us. Either way you are not paying for the same understanding twice.

About three weeks from the second session to the written roadmap. Your team gives two sessions, then we do the interviews, analysis and costing on our own time. The roadmap and business case come back to you ready to take to a board or a bank.

You can, and some teams do it well. The catch is that your own people are inside the workarounds, so the costly ones tend to look normal, and the review competes with their day jobs. The workshop is a fixed $9,000 + GST, takes two sessions of your time, and gives an outside view with costs attached.
